Step 1

Job search & register at the employment agency

🚨
Those who don't register in time risk a suspension of unemployment benefits – this can last several weeks!

If you lose your job or actively search: Register at the employment agency on the very first day of unemployment at the latest. This is essential for unemployment benefit and job placement. In Köln you can reach the agency in person or online.

💡 Tips
  • 📅 Register at the latest on day 1 of unemployment – even if notice period is still running
  • 💻 Online at arbeitsagentur.de possible – no personal appointment strictly required
  • 📋 For ALG I: at least 12 months of insured employment in the last 2 years
  • 🔍 BA job portal: jobboerse.arbeitsagentur.de – Germany's largest job board
  • 📞 Essen hotline: 0800 4 5555 00
Step 2

Apply for a criminal record certificate

Many employers require a criminal record certificate when applying. There are two types: the standard certificate (for private purposes and most jobs) and the extended certificate (for work with children or in special sectors). You apply online or at the registration office.

⚠️The extended criminal record certificate is mandatory for all work with children and young people (§ 72a SGB VIII). Missing certificate can lead to immediate rejection.
Before application or on employer's request💰 13 €

📄 Required Documents

💡 Tips
  • 💻 Apply online at the Federal Office of Justice: fuehrungszeugnis.bund.de
  • 🏢 Alternatively: Köln registration office (in person, also for others)
  • 📬 Certificate is sent by post – approx. 1–2 weeks processing time
  • 📋 Standard certificate: for normal jobs, clubs, private purposes (€13)
  • 🔒 Extended certificate: for work with children/young people (§ 72a SGB VIII) – also €13
Step 3

Review your employment contract

Before signing: read the employment contract carefully. Pay attention to salary, working hours, vacation entitlement, notice periods and probation period. In Germany your employer must give you a written summary of all working conditions by the first working day at the latest.

⚠️Once signed the contract is binding. In case of doubts always ask at DGB legal advice or a counselling centre first.
💡 Tips
  • 📋 Minimum content per NachwG: name/address, start, role, workplace, hours, salary, vacation, notice periods
  • ⏰ Probation period max. 6 months – shorter notice periods apply (2 weeks)
  • 🏖️ Legal minimum vacation: 20 days (5-day week) – many collective agreements more
  • 💡 Minimum wage 2025: €12.82/hour (nationwide)
  • ⚖️ Free advice: DGB legal protection, VdK, consumer centre
Step 4

Tax class & income tax

Your tax class determines how much income tax your employer withholds every month. With a new job or life change (marriage, divorce, children) you should check your tax class and change it at the tax office if needed.

⚠️The wrong tax class costs real money. Married couples with different incomes often benefit from class III/V instead of II/II.
💡 Tips
  • 📊 Class I: single/separated | II: single parent | III: married, main earner | IV: married, equal | V: married, lower earner | VI: second job
  • 💰 Class III pays significantly less income tax – but balance comes in tax return
  • 🔄 Tax class change: possible once per year at any time at the tax office
  • 📱 Check income tax online: lohnsteuer-berechnen.de
  • 🧾 Annual tax return almost always worthwhile – average refund €1,000
Step 5

Pension insurance & pension entitlement

Every employee is automatically insured for pension. Employer and employee share the contribution (9.3% each). You can check your pension account and estimated pension at the German pension insurance at any time.

⚠️Gaps in pension insurance (e.g. longer unemployment, self-employment) can significantly reduce the later pension. Voluntary contributions are possible.
💡 Tips
  • 📊 Pension information: From age 27 the DRV sends annual pension information by post
  • 💻 Create online account: rentenkonto.deutsche-rentenversicherung.de
  • 👶 Child-raising periods are credited as pension points (3 years per child)
  • 🎓 School and study periods can be considered as creditable periods
  • 💡 Private pension (Riester, company pension) sensible as supplement
Step 6

Early retirement / pension for long-term insured

🚨
Every month of early pension costs 0.3% of the pension amount permanently – over 2 years that's 7.2% less for life!

Under certain conditions you can retire earlier – often with reductions of 0.3% per month of early retirement. The 'pension for particularly long-term insured' (63 pension) allows deduction-free pension after 45 contribution years.

💡 Tips
  • 🎯 Regular retirement age: 67 (birth years from 1964)
  • 🏆 Pension for particularly long-term insured (63 pension): deduction-free from 63 after 45 contribution years
  • 📉 Pension for long-term insured (35 years): from 63 with reductions possible
  • 💸 Compensating reductions: voluntary special contributions possible (ask DRV from age 50)
  • 🔮 Online pension calculator: deutsche-rentenversicherung.de
Step 7

Partial pension / FlexiRente

Since 2017 you can flexibly combine pension and work. The FlexiRente allows you to receive partial pension while continuing to work – without rigid additional earnings limits. Those who continue working and paying contributions even increase their pension.

⚠️Those who continue working and paying contributions after retirement start permanently increase their pension – but inform your employer and DRV in time!
💡 Tips
  • 🔀 Partial pension: 10%, 20%, ... to 99% of full pension selectable – combinable with part-time job
  • 📈 Contributions after pension start increase pension every 1 July automatically
  • 🧮 Additional earnings limit 2024 from 65: no limit for regular old-age pension
  • 💡 Useful for: gradual transition, boosting pension, less physical strain

Step 8

Writing an application

A complete application consists of cover letter, CV and certificates. Structure and clarity matter more than length – recruiters read your application in under 30 seconds.

⚠️Spelling mistakes and an impersonal cover letter are the most common rejection reasons. Get someone to proofread your documents!
💡 Tips
  • 📋 Every application must include: name/contact, job title, motivation, strengths, salary expectation (if requested)
  • ✉️ Cover letter: max 1 page – why you? why this position? why now?
  • 📄 CV: tabular format, most recent position first, photo optional (but common)
  • 🔗 Online application: PDF format, file under 5 MB, meaningful filename
  • 💡 Tip: Write an individual cover letter for each job – mass applications are spotted immediately
Step 9

Creating a CV

Your CV is the most important page of your application. Keep it clear, up-to-date and maximum 2 pages. The Europass is the EU standard – free, multilingual and recognized by employers across Europe.

⚠️Gaps in your CV don't need to be hidden – explain them briefly (parental leave, training, illness). Honesty looks more professional than concealment.
💡 Tips
  • 📋 Structure: Personal data → Work experience → Education → Skills → Interests (optional)
  • 📅 Always include dates: MM/YYYY – MM/YYYY (no gaps without explanation)
  • 🌍 Europass: free EU standard, accepted by all German employers
  • 🇩🇪 Photo: common in Germany, but not mandatory since 2006
  • 💡 Tip: Keep your LinkedIn or XING profile current – many recruiters search there first
Step 10

Writing a cover letter

The cover letter answers three questions: Why this position? Why this company? Why you? Keep it to one page, write concretely and avoid phrases like 'I hereby apply...'.

⚠️Don't copy the cover letter from the internet or an AI without adapting it. Recruiters recognise generic texts immediately.
💡 Tips
  • ✍️ Structure: Opening (hook) → Main part (your strengths for this role) → Closing (interview request)
  • 🎯 Concrete not vague: '3 years experience in X' beats 'I am a team player'
  • 🏢 Research the company – mention something specific from the job posting
  • 📅 Avoid opening with: 'I hereby apply...' – start directly with your value
  • 💡 Length: 3–4 paragraphs, max 350 words – less is more
Step 11

Preparing for a job interview

🚨
Being late is the most common mistake. Always plan a 15 minute buffer – and test the route beforehand!

The interview decides. Most rejections come not from lacking qualifications but from poor preparation. Know the company, know yourself, know the role – then you're prepared.

💡 Tips
  • 🏢 Research beforehand: website, LinkedIn, Glassdoor – products, values, recent news
  • ❓ Typical questions: Tell me about yourself · Strengths/weaknesses · Why us? · Where do you see yourself in 5 years?
  • 💬 Prepare your own questions – shows interest: 'What does day-to-day in this role look like?'
  • 👔 Dress: When in doubt, be more formal than casual – first impression counts
  • 💡 Follow up: short thank-you email 24h after – makes a professional impression
Step 12

🛡️ Disability Insurance

One in four employees becomes unable to work before retirement age. Statutory reduced earnings pension is usually not enough – disability insurance protects your income if you can no longer work.

⚠️The earlier you take out BU insurance the cheaper the premium – health and age determine the price!
💡 Tips
  • 💡 Cover at least 70–80% of last net income
  • ⏰ Cheapest to take out between ages 20–35
  • 📋 Disclose all pre-existing conditions fully
  • 🔍 Important: exclude abstract referral clause
⏱ 2 Minuten💰 Kostenlos🔒 Unverbindlich
Step 13

⚖️ Legal protection insurance

Dispute with employer, unfair dismissal, warning – employment law disputes are expensive. Legal protection insurance covers lawyer and court costs and gives you the security to actually enforce your rights.

⚠️Without legal protection an employment dispute quickly costs €2,000–10,000 – and those who fear the risk often give up their rights.
💡 Tips
  • ⚖️ Coverage: employment law, traffic law, tenancy law, private law
  • 💰 From €8-15/month good coverage
  • ⏳ Waiting period: usually 3 months before first claim
  • 🏆 Tip: combination packages often cheaper
